Information on Booking
an Event at the Center for Film
Studies
The Center for Film Studies welcomes Wesleyan-affiliated departments and groups and will do our best to
accommodate your needs. The Center is the primary campus venue for the
legal presentation of films and we encourage anyone who is contemplating a screening to consult with
us to schedule an event.
Because the Center is an academic building and not an events facility, the
academic needs of the Film Studies Dept. take precedence over any proposed
event. Thus, the scheduling of events during 10 a.m.-5 p.m. Monday-Friday is
restricted. Also, potential users should be aware that required academic
screenings, Film Studies Dept. events, and the Wesleyan Film Series are
frequently scheduled during evenings and weekends, further limiting available
time slots. Requests for use of The Goldsmith Family Cinema (Screening Room 100) should be made a minimum
of four weeks in advance of a proposed event.
Student Groups
Student group requests for film screenings are welcomed, but all such events
must be approved by both the Student Activities Office and the
Center. Unfortunately, due to limited facilities and scheduling opportunities,
no student group requests for non-film events will be considered.
Fees
A $50 equipment maintenance fee will be charged per event. In addition, the
cost of the house manager(s) and, if required, a projectionist, will be added, which generally runs $60-120 for a
four-hour event (depending on the nature of the event). Those who use Wesleyan facilities, including classrooms, will be
billed for any damage to the facilities, grounds, furnishings, or for extra
cleaning as a result of the event.
Event Staffing
All Center for Film Studies events will be staffed by at least one house manager
(and usually two or three) who will be responsible for the smooth operation of
the event. House managers arrive in advance of the start time and stay through
to the end of the event and are there to answer questions, handle audience flow,
and otherwise support the event. If the event requires audio/visual needs,
including computer, film, and DVD projection, the Center will provide a trained
projectionist.
Public Performance Rights
The Center for Film Studies will not permit the screening of any material
unless the sponsoring group has obtained the public performance rights. It is
not the responsibility of the Center to do this, although we offer assistance in
determining who the rights holders are and how they may be contacted. For
example, even if a group has in its possession a DVD and wishes to show it, the
public performance rights to that DVD must be obtained first. Such rights typically
cost
hundreds of dollars. Public performance authorization must be submitted in
writing to the Center prior to any screening. There can be no exceptions to this
policy.

Receptions, Food Service, etc.
Groups who wish to have food and/or beverages at their events should be aware that the only
spaces where food is permitted are:
1. Upper mezzanine (lobby)
2. Lower lobby
3. Seminar room (Room 124)
Food and/or beverages may not be taken into any other space, including the
Goldsmith Family Cinema (Screening Room 100).
The Center for Film Studies is not responsible for the rental
and/or set up of tables, chairs, reception materials, etc. The event sponsors
must make arrangements for clean-up after the event. Rentals, set-up, and
clean-up should be arranged through the University Coordinator's Office.
Event Booking Form
All groups must submit an event form prior to booking an event. Booking
confirmation will be given only after receipt and review of the event form.
