Reservation Request
Policies and Procedures
The following are procedures for
making reservations at the Inn at Middletown. The JPMorgan
Purchasing Card (PCARD) is the University’s preferred method of payment
to the Inn.
INITIAL PAYMENT SET-UP
Initial payment set-up requires
the cardholder to contact the Inn at Middletown and provide PCARD
account information. Once this information is initially provided to the
Inn, subsequent reservations on the card will not require the submission
of an account number.
RESERVATION PROCEDURE
1. Complete
the Reservation Request
Form and fax to the Inn at (860) 854-6301. Note, the
form requires only cardholder name and the last four digits of the
PCARD number.
2. If space is
available, you should receive a notification from the Inn with a
confirmation number within 24 hours. If you don't, or if you
need to cancel or amend a reservation, contact the Inn directly at
(860) 854-6300.
3. The Inn will
forward a final itemized invoice to the requestor after the guest
departure date. Upon receipt of the invoice, the
requestor/cardholder should verify that the appropriate charges were
applied, excluding taxes. Note, tax exclusion does not apply
to alcohol. Retain the invoice and submit with the monthly
PCARD statement.
4. PCARD expenses to
the Inn will default to the department expense default account
number assigned to the PCARD. If a charge should be assessed
to a different department account number, it is the responsibility
of the cardholder to reallocate charges using the JP Morgan SDOL
system. If the charge appears in the financial system it is
necessary to complete a journal entry.
