PERSONNEL RECORDS/RELEASE OF INFORMATION
Official personnel files are maintained in Human Resources and are
considered confidential. Information in personnel files will be
released only under the following circumstances.
Internal
Information from personnel files is released internally only to others
who have a legitimate reason for requesting it. For instance, if an
administrative staff member applies for a promotion or transfer,
information relevant to his or her background, skills, and performance
may be provided to the hiring manager for that position.
External
When a request for information is received (e.g., verification of
employment), Human Resources will release only employment status
(currently employed, previously employed), employment date(s), and job
title or category. No other information from the records will be
released without written consent unless required by law.
An administrative staff member may examine the contents of his or her
personnel file and request copies of any filed documents by scheduling an appointment
with Human Resources.
It is the administrative staff member’s responsibility to
keep his or her records current with the University.
Any changes to your address or emergency contact should be
entered in your Employee Portfolio under your Personal Profile. Please notify Human Resources (in
person) of any change to your legal name by presenting a social security card
which reflects the change. This information will be forwarded to the Payroll Office
and the change will be made upon receipt. Please notify Human Resources of
any change in marital status, life insurance beneficiary,
number of dependents by emailing benefits@wesleyan.edu.
