The following documents an informal discussion regarding the new CSS Human Resources product and its implementation in relation to the Financial Aid office and their work managing student employment. Financial Aid would like to see a demo of some of the features we discussed, at this time I think it would benefit the entire HRIS project team to join the fun. I believe that most of the things we talked about are standard features within CSS, and that with a little development we can deliver some very 'student specific' functionality. The following topics are not prioritized, simply a list of some of the things that came up...
Financial Aid would like to be able to keep a history of student positions and their payrates. Currently, students are paid based on the rate entered on the timesheet, Ed would like to see a transition to where the payrates are set and maintained by Financial Aid for predefined positions. With CSS' effective dates, this should work right out of the box without any modifications.
The system will need to allow one student to be associated with more than one position, often at different payrates. CSS should accommodate this as we set 'Multiple Jobs Allowed' to true in the Installation Table.
Financial Aid would like to be able to setup intersession payrates. This again should be no problem with effective dating. We might ease the task with simple customization, prompting once for the intersession end date and then automatically inserting yet another row which resets the payrate to where it was prior to intersession.
Financial Aid would like to see time sheet data entry automated in some way, either the preprinting of timesheets to be distributed to departments, or via an electronic feed. It would also be nice if any payrate changes were automatically routed to Financial Aid for approval. I think that we need to look at using CSS' Rapid Paydata Entry, this may be difficult to make work if we do not store the actual department on the student's employee record. Can this work by location code ? Can we use it if the position is associated with a department ? This type of automation will not be available spring semester '97, but possibly by next fall.
Financial Aid would like to be able to automatically generate and track 'referral letters'. I think that the Action/Reason codes and built in logic should be easy to customize for this task, possibly using the position number and the employee number to then pull relevant info from the database to create the letter (which will probably be maintained in Microsoft Word ? ).
