Entering New Inventory into ED

What you will need:

  1. Permanent marker
  2. Logged into ED, with tech permission or higher
  3. Wes barcode labels (beginning with EQP)
  4. Terminology - A device is a generic description of a piece of equipment...it has a device type, a manufacturer, and a model (i.e. PC/Dell/gx280, or projector/nec/mt1075). An asset describes a particular instance of a device. Each asset is unique, meaning it has its own serial number, wes barcode, IP address (if applicable). It can only exist in one room at a time.

The process:

  1. Unpack new equipment. Remove cables, remote controls, instructions, batteries, etc. and place in their appropriate storage locations (pegboard, remote box,battery box, garbage, etc.)
  2. Place equipment tag on the device (preferably the back side). Do not cover up other labels, or terminals.
  3. With a permanent marker, write the Wes barcode number and the serial number on the actual device.
  4. In ED, go to Classrooms > Inventory Management. You will see a list of registered device types, makes and odels. Chances are that the device that you are entering is already in this list. If so, go to step 6.
  5. To enter a new device, enter the device type, make, and model in the form at the very bottom of the page. Double check to make sure the device is not already in the list! If the device is a network device (ie PC, Mac, NXI, NI3000, G4 touchpanel, or anything else with a MAC address) check the Network Device box as well. Then click Add to DB.
  6. To create an asset, mark the checkbox of the device type you are entering. You should only check off one device at a time. Then select the room you want to add it to and click Put Device in Room button. Unless you are instructed otherwise, any new asset being entered goes into the storage (room SCIE512).
  7. Next, you should be redirected to the detail page of the new asset you've created. Enter its serial number (found on the back of the device, and the EQP number of the barcode sticker you have placed on it). Click update.
  8. Pack the item back up in its box, and tape it back up so it doesn't fall out. Write the current date and the word new somewhere on the box. It's then ready to be put in storage up in 512.
