How to Add Hardware to the Inventory with Portfolio
- Logon to any web browser (Safari-Mac, Firefox-Mac and PC or IE).
- Click the
Portfolio Sign-inlink in the upper-right of the window - Enter the appropriate credentials where prompted.
- Under "ITS (For ITS Use Only) click the link for
Inventory Database
Adding a New Piece of Hardware
- If the hardware you have does not have a Wesleyan Barcode on it it is unlikely to be in the inventory. Select the
Add/Edit Equipmentlink. - Enter all of the appropriate information. You will need the correct tag for the next steps. Ask the manager assigning this task for the tags if you do not have any. Be sure to enter the
cpulocated at the beginning of the tag. It is part of the actual number/code. Example-cpu008767. - For the Hardware Address field you will need to remove all of the
:or-. Example--00-04-75-DC-68-B1 needs to look like 000475DC68B1 in the field. - Fill in all the fields and hit
Find. If all info is correct and there is no duplicate record (any part of the entered info could be linked to another machine. That will require you to verify your information) then you should be presented with the following screen: - Fill in the appropriate boxes. For best results find a record (open in a second window or tab) of a known device (best to locate a nearby PC. To look-up info on a known machine jump to the
Lookup Known Hardwaresection. - Click
Saveat the bottom of the page. Be sure to fill in all of the necessary boxes. Otherwise, you will be met with an error specifying what box you need to complete. - You will be prompted a second to confirm your save request. Confirm it.
- As the icons and links normally leading you back to the main page are broken on the 124 subnet (classroom subnet) just select the top broken-icon. Then, start the process again for each piece of equipment you need to enter.
- When done close the web browser.
NOTE: Be sure the Hardware (aka MAC address), IP and cpu tag are correct. Once the record is created, the Hardware address is then hard-coded and can not be altered. A new record must be created and the incorrect record deleted in order to rectify the situation. The same situation exists for an incorrect cpu tag ID
Look-up Known Hardware
- You can look-up a piece of equipment to find information. To find a piece of equipment you can use the
Add/Edit Equipmentlink. Or you can use theSearch and Viewin the Search category. - Enter any of the information you would enter in the
Add/Editscreen. The hardware record will then be brought-up should it be in the system. - Click
Search - If your record exists then you will get the following screen.
- Click
Editon the far-left to see the next screen. - Click
Viewon the far-left to see the record. Or whatever button necessary depending on your task. - You can scroll through the menu to see the appropriate info if you are comparing records.
- Close the browser or tabs when you are done.
It is best to use only 1 field. Using the And with multiple fields filled-in often fails to return a record.
