Media Database Guide
Cataloging media

Cataloging associates and displays descriptive information with a media file. If you FTPed, or otherwise manually copied your files to the server, follow the instructions and  screenshot below. These instructions do not apply for files that have been uploaded with the Auto-upload module.

  1. Confirm your username in the 'owner email' popup.
  2. Enter the Media filename. This must be exactly the same as the name in your media directory.
  3. Enter a Title and Description.
  4. Enter Copyright information.
  5. Enter Keywords that will help you find the file later when you wish to add it to a collection. Keywords might include a course ID or subject terms a librarian would use. It is important to be consistent from record to record with spelling, case and terms.
  6. When done, click Save, to return a confirmation screen with three choices:
    1. catalog a new file
    2. clone the catalog record - this saves time if the descriptions remain largely the same
    3. edit the catalog information just entered

Note: You can not catalog the same media file twice. Each catalog record must point to a unique file name.
