ITS Student Employment Payroll Guidelines - Fall 2009

Employment

At the beginning of each fall and spring semester, the front office will provide supervisors with a list of students who worked the previous semester.  It is requested that these lists be reviewed, updated, and returned via email to the front office promptly and accurately.

In order to ensure the processing of timely time sheets, supervisors should inform the front office of any student who has been hired or experienced a change in status before submitting a timesheet.  Terminations should also be reported.

During semesters, it is recommended that student employment be limited to 15 hours per week.  This limitation allows students to focus on their academic pursuits. It is also recommended students working a shift in excess of 6 hours clock out for a minimum 30 minute break. During semester breaks students may work a maximum of 37.5 hours per week.

Time Sheets

Students and supervisors utilize the Timeclock management system for the recording, submission and approval of hours worked for ITS.  Students log in to Timeclock via portfolio when arriving for work and log out when their shift has ended. Upon working their last shift of the week, students electronically submit time worked to their supervisor.  This submission constitutes a student signature.

Electronic approval of student submitted time by the supervisor is required for the front office to process hours worked for payment.  Timesheets electronically approved by a supervisor by 9 am on Monday will be processed and paid the following Friday.

Pay Rates

Student wages are determined by utilizing the ITS Student Wage Structure.  Students' hourly rates are increased according to the structure (based on supervisor discretion) as semesters are completed.  Summer and winter break are not considered a semester.

The wage scale for summer and winter break student employees is $8.75 - $10.75 per hour as outlined in the Student Employee Wage Scale for Summer and Winter Breaks document.

Graduate students’ pay rate is $9.00 - $12.00 depending upon experience and responsibility.
