Flyers, Banners & Displays Policies &
Procedures
Restrictions:
Posting, taping, tacking, gluing
of any material to the interior or exterior walls, windows, doors, columns, or
floors of the University Center are not permitted. These restrictions apply to
all public/open spaces, as well as all dining, conference, and meeting rooms.
Damage caused by any display in a restricted area will be charged to the person
or group responsible. All flyers, banners, table tents, promotional cards, and
display case exhibits must comply with the University’s nondiscrimination and
sexual harassment policies as outlined in the Student handbook, and are subject
to removal by University Center Staff. All display materials must include the
name of the sponsoring student or group. Any display material that is
commercial in nature and/or non-University related will be subject to immediate
removal.
Flyers:
Posting of flyers is limited to the corkboards located throughout the building.
Flyers on all corkboards will be removed every other Sunday night after 9pm to
allow for the posting of new flyers advertising events for the upcoming two
weeks.
Banners:
All banners must first be submitted to the Information Center Desk. Banners
must be created on butcher paper supplied by the WSA, and be dry upon
submission. Banners will be approved and stamped received/dated by the
Information Center desk Staff, and then hung by the University Center Staff as
soon as possible after submission (no later than the next day). Any banners not
approved and stamped received/dated will be removed. Space is limited to the 8
portals above the first floor café/lobby area. Due to this limited space,
banners will be restricted to display for one week before the advertised event
or program (exceptions may be made by the University Center Staff for longer
display periods). Banners can be no larger than 3’ X 5’, and must hang in a
portrait orientation. Banners that are not promoting a dated event may be
allowed for one week display time if space is available. Such non-time
sensitive banners may be removed before a week of display if time sensitive
banners need to be posted, and none of the 8 available portals remain open.
Banner space may be reserved in advance by calling the Facility and Events
Manager at X3559, or by e-mailing
fmarsilli@wesleyan.edu. You can also stop by Usdan 126A during regular
business hours to reserve a banner.
Display Cases:
The Usdan University Center has one display case for general student and staff
use located on the first floor across from the Cardinal Technology Center and
the CFA Box Office. Student Organizations and University Departments can
request to post in this area by contacting the Usdan Center Staff in the Usdan
Office Corridor (Room 120). You can also e-mail the Facility and Events Manager
at
fmarsilli@wesleyan.edu, or call X3559.
A second display case is located on the first floor. This case is managed by
the University’s Art Department, and displays exhibits of student and faculty
art on a rotating basis.
Decorations
Plans for decorations should be reviewed with the Usdan
Center Operations staff prior to the purchase of materials and the actual event.
- The organization agrees to adhere to the following
specifications for decorations and their application:
- All
decorations must be non-flammable (flame retardant) as required by fire
regulations.
Masking tape
must be used to hang decorations on approved surfaces only (No
taping to chairs). Per the Usdan / Fayerweather / Wesleyan Posting Policy –
nothing is to be taped to windows or doors in either building. No tacks or
nails or taping to walls. We can provide easels if available.
- If used, we
require table coverings which are color-fast, and prefer cloth or plastic lined
paper.
- All
streamers must be colorfast. String Lights: Must be UL approved
and kept to a minimum on case by case determined by Usdan Center personnel.
Any wires must be covered by a floor cable cover or taped down with professional
gaffers tape. Preferably, string lights should be plugged directly to an
outlet. If that is not possible, only grounded (3 pronged) extension cords can
be used.
- Paper
Confetti: Yes
- Metal or
Plastic Confetti: No (choking hazard)
- Helium
Balloons: Depends on the room and/or layout and volume and location to be
displayed. If a helium tank is used it must be tethered/chained to the wall or
a post.
- Candles:
Must be self-extinguishing and approved beforehand by Usdan Center Operations
Staff and Campus Fire Safety
- No hanging items from ceilings, sprinkler systems or any beams etc. no
blocking the entrances or exits with decorations.
- There must be a 4ft. clearing around all exits per fire regulations.
- All items on tables must also be cleared through food service.
