POLICY ON DISSEMINATING INFORMATION TO STUDENTS

The NOTICE BOARD in the Campus Center carries postings of items that would otherwise be distributed as all-campus or all-class mailings, addressed or not addressed. Copies of the notices are available in the open cubby holes under the Notice Board. All-campus mailings to students are not accepted by the Post Office. The only exceptions are essential notices concerning the safety and welfare of students (i.e., Public Safety notices).

HOW MATERIALS ARE POSTED

–The organization or office generating a notice should provide Lisa Davis, Manager of Wesleyan Station, with a reasonable number of copies by 4 PM Friday.

–Notices should be on an 8.5 x 11 sheet of white paper. For greater visibility you can use a strip of colored paper at the top indicating for whom the notice is intended (seniors, all students...)

–All unused copies will be recycled.

–Students are encouraged to develop the habit of checking the board each week.

* Many student groups with more than 15 or so members keep a mailing list on the WSA computer. Mailing labels can be generated by the friendly, superhuman WSA Office staff (without cost). Please give at least 24 hours notice.

* Don’t forget voicemail! You can set up your own groups for sending bulk voicemail (press 4 for personal options while checking your voicemail, and follow the instructions). If you have more than 25 members to contact you can submit a list of names and phone numbers to Adrian Donohue at Westel. Call him at x2021 for instructions and tell him that you are from a recognized WSA group.

* A great way to save paper: create an e-mail mailing list and send out mailings via e-mail to members of your group that have a e-mail account. Call or visit the Helpdesk on the 1st floor of the Science Center for details.

RADIO STATIONS:

For information about radio stations other than W.E.S.U., (e.g. whether or not they charge for public service announcements (and many do)), you probably want to call them. Most stations will require you to submit your announcement in writing (address your letters to "News Director"). The list below includes all the major college radio stations in Connecticut as well as public radio, a couple of commercial radio stations, and smaller local stations. If you need a more extensive listing, you can contact the Office of Public Information (x3600). With enough notice, the friendly people at the WSA Office may also be able to help with contacting radio stations.

Open parties may not be advertised on the radio or by postering outside of Middletown except on other campuses.

Local Car Rental Agencies:

Airways has proved to be the most Wesleyan-friendly rental agent, but you may want to call around for rates.

BOSTON: Take the Mass Pike and Interstate 84 West to Hartford...

HARTFORD: Take 91 South toward New Haven. Use left-hand Exit 22 South onto Rt. 9. Exit at the second stop light (Rt. 66 West) and proceed up the hill. Take a left onto High St. at the 4th light

NEW YORK: scenic route: Take the Hutchinson Pkwy. until it turns into the Merritt Pkwy (which turns into the Wilbur Cross) to Meriden, exiting onto Rt. 66—which eventually becomes Washington St.—east toward Middletown (there is no commercial traffic permitted on either parkway)... truck route--lighted at night: Take Rt. 95 to New Haven, then use Rt. 91 North toward Hartford but take Exit 18 onto Rt. 66 east toward Middletown...

NEW HAVEN: Take Rt. 91 North toward Hartford, as above...

Once you are in Middletown:

Proceed on Rt. 66 (Washington St.) to High St. Turn South (that’s left from the Boston/Hartford area, or right from the New Haven/New York area) onto High St. You are now at Wesleyan.

*Note: You may want to send your speaker/performer a campus map so that they where to go when they arrive. Free maps are available at the WSA office, Public Safety, and the Admissions Office.

 

LODGING

If your speaker/performer needs to stay in Middletown overnight, the best hotel option is the Alumni Guest House. Remember, there are only seven rooms, so think ahead!

Room Descriptions:

There are seven rooms in the Alumni Guest House. The double rooms each share a shower and toilet with another double room but have individual sinks. Each room is equipped with a fan and a telephone (extensions are listed below next to room numbers). Guests are invited to relax, read or visit in the comfortable solarium.

Room 202 (x2902) is a double room with a single double bed.

Room 203 (x2903) is a double room with two single beds.

Room 208 (x2908) is a double room with two single beds.

Room 209 (x2909) is a double room with two single beds.

Room 204 (x2904) has a single bed with a private toilet and shower.

Room 210 (x2910) has a single bed with a private toilet, bathtub, and shower.

Room 211 (x2911) has a single bed with a private toilet and shower.

Note: Rooms 202 and 203 share a bathroom, and rooms 208 and 209 share a bathroom. Only Room 210 has a bathtub and shower; all other rooms offer a shower only.

Parking:

Guest Parking is available on High Street.

Procedures:

Reservations may be made by calling the Manager, x2586. Because the Managers have academic and work commitments, you may encounter an answering machine. Please leave your name and number, and the Manager will return your call as soon as possible. Guests are charged at the rate of $35 per night per single guest, $40 for two guests in one room. If a guest’s stay is being paid for by the University, please indicate to the Manager which account number should be billed.

Check-in/Check-out:

Because of the tight custodial schedule in the Guest House, it is crucial that guests who are not staying another night be checked out by 10:00 a.m. Departments may be charged for an additional night if custodial overtime charges are necessitated by a late check-out. For the same reasons, guests should not expect to check in before 1:00 p.m. If you or your guests should have any special requests, questions, and/or problems, please feel free to call or stop by the Manager’s apartment located on the third floor of the Alumni Guest House.

Cancellations, like reservations, are greatly appreciated in advance. Please let the Manager know, as far in advance as possible about changes in scheduling. Remember that there are only seven rooms available, and it is, therefore, that much more frustrating to hold a room for a "no-show" when there are generally several people on the waiting list for accommodations.

DINING AND ENTERTAINMENT

Students sometimes hold dinners for visiting speakers in their house, but if you want to treat your guest in style, (or if the speaker will be in town for several meals) on the following pages is a listing of some local places to eat and play and frolic and imbibe and be merry, with a speaker, or without (remember that the WSA will fund only the speaker’s dinner—all other guests must pay for their own):

RECYCLING APPENDIX

Recycling and Waste Reduction:

Student groups tend to generate an enormous amount of waste paper and other materials which can easily be recycled. Please read the following guidelines and attempt to follow them wherever possible. We urge you and your colleagues to cooperate not only by recycling but also by reducing the waste you generate and cutting back on energy use. Recently paper prices have increased a whopping 15 percent, so recycling is becoming more and more of an economic necessity for all organizations.

Recycling of 100% of the following items items is mandatory in Connecticut: glass and metal food containers, corrugated cardboard, newspaper, and white office paper. In Middletown recycling of plastic containers coded 1 and 2 is also mandatory. Wesleyan recycles all of these, as well as magazines and catalogs, some industrial materials, and colored paper.

Recyclables:

Bottles and Cans: Plastic bottles, glass bottles, aluminum drink cans, food cans, plastics #1 and #2.

Mixed Paper: Colored paper, white paper, magazines, catalogs. Staples are acceptable.

Newspapers: Also brown paper bags.

Paperboard: Cereal Boxes. Only in Campus Center.

Magazines and Corrugated Cardboard: in dumpsters on Lawn Avenue and other select campus locations, (corrugated cardboard is the wavy kind - no greasy pizza boxes or cereal-type boxes in these bins please).

Not Recyclable: Plastic Bags, Styrofoam

Recycling Container Locations:

On-campus residences: Large blue outdoor bins located near dormitory entrances and places accessible for pickup, (ex. - CFA driveway). Students should collect recyclables in their rooms and bring them outside with their trash.

Academic and Administrative Buildings: Bins are located throughout these buildings, usually near the elevator.

Off-campus and C.M. Burr housing: Middletown provides blue recycling boxes to the Sanitation district. Rinsed glass and metal food and beverage containers and plastics coded #1 or #2 should be placed in the bin. Newspaper, tied or in a brown paper bag, should be placed on top. Mixed paper, corrugated cardboard, magazines, and paperboard are not picked up by the city, they should be brought to appropriate bins on campus. Call Middletown’s recycling office to find out on which day your recyclables are picked up, at 344-3526.

Please use the designated recycling bins and do not allow them to become contaminated with inappropriate materials. One paper cup with some Coke in it can ruin an entire bin of clean white office paper.

Everyday waste reduction:

Every attempt should be made to keep down the generation of paper and other waste. Here are a number of steps each group or individual can take:

* Circulate or post materials rather than copying them for each person in the group to read.

* Make only as many copies of handouts as are really needed.

* Do two-sided copying.

* Target mailings to those who really need the information. Update your group’s mailing list on a regular basis, limiting the list to regularly attending members.

* Try to get your name taken off lists of non-Wesleyan organizations whose mailings you do not wish to receive.

* Avoid disposables wherever possible.

* Create an e-mail mailing list and send out mailings via e-mail to members of your group. You can even create a student group account that more than one person can have access to. Call or visit the Help desk (x4000) on the 5th floor of the Science Center for details.

* Use voice mail for group announcements—create a group list and send phone messages instead of mailings. Split up the task with a time-honored method—the phone tree. Occasionally the school will let you do an all-campus message, if it is very important. Call Cari Macdermott for approval first. You will then have to record the message on a campus telephone and send it to x9876, and contact Adrian Donohue at x2021.

Publicity and notices:

A notice board is located near the post office in the Campus Center for dissemination of information. One copy of a notice may be posted, with a reasonable number of extra copies deposited in a pigeon-hole below the board. A student who wants the information can take a copy. The notice to be posted must be given to Lisa Davis, Post Office Manager, by Friday of the week before the notice should go up. The board is not intended for posters advertising organizations’ events.

Reuse:

Please reuse envelopes of all sizes, relabeling them clearly, use backs of waste paper for notes, and save book mailing bags and corrugated cardboard boxes for reuse. The WSA office keeps a supply of paper printed on one side for reuse in the copier.

White and colored office paper recycling:

Please try to recycle used office paper, computer paper, and newspapers. Junk mail may also be recycled.

How to collect recyclable paper: the boxes in which copier or computer paper comes in make ideal office containers. Cari usually has a few standing around the WSA office. Such a box should be placed by the desk in every office where there is room. (There is one next to the copier in the WSA Office). All boxes for recyclable paper should be clearly labeled. If your group has its own or shares an office, assign a member to collect the recyclable paper periodically and take it to the nearest outdoor depository bin. Groups of large blue recycling bins are placed strategically throughout the campus. It is very important not to contaminate the office paper with other types of paper.

Paper that CANNOT be recycled: used napkins, tissues, paper plates, plastic-coated paper, glossy paper, (this goes to Lawn Ave magazine dumpster).

Energy and water conservation:

Be sure to turn off all lights in offices, classrooms, lounges, and rest rooms that are not in use, and make sure windows are not left open on cold days or at night. If your building or office is too hot in the winter, call the Physical Plant Customer Service number x3400 rather than opening windows. Turn off machines like computers and stereos unless they are being used constantly. Report running toilets and leaky faucets to Physical Plant, x3400.

Trash removal and energy use incur large and growing expenses for the University, and each of us can play a part in curtailing those expenses. Please discuss these matters with your group members.
