COVID Events FAQ

  • Are in-person events allowed?

    Beginning March 1, 2021 a limited number of indoor spaces will be available for students to reserve.  Everyone must wear a mask and maintain physical distance (6ft when seated, 12ft when movement is involved).   Reservations may be made via Room Request, which can be found on your WesPortal  - 24 hours in advance for meetings / study spaces and 72 hours (3 days) for events.

    Some ideas: group meetings, rehearsals, game nights, art shows, movie viewings (funding must be obtained for a movie license.)  Student performances are also allowed as long as performers are 12ft away from audience members. Shared equipment must be sanitized in between performances.

    All in person events not taking place in a residence hall or building must be approved by SALD.

    Hosts are responsible for maintaining capacity and keeping lists of attendees. Please pay close attention to the COVID capacity listed for each space in Room Request.

  • Can we have an event outside?

    There are a limited number of outdoor spaces available:

    In person meetings and events may only occur in the spaces that are currently available in Room Request.

    Outdoor Locations:

    Butterfields Courtyard – 75  *cannot provide power to this location, events must end before sundown

    Usdan / Huss Tent – 75 

    Sun- Thurs: Events must end by 10pm
    Fri/Sat: Events must end by 11pm

  • Is food allowed at events?
    Food is allowable as long as it's pre-packaged for indivual consumption.  Buffets or shared food is not allowed. People must be at least 6 ft apart while eating.
  • Can I add furniture or tech services to my event?

    Unfortunately all spaces, with the exception of the Usdan/Huss Tent, must be used "as is" and furniture / staging cannot be provided.  Rooms must be put back how you found them.  The capacities listed are based on how the rooms are normally configured / existing furniture in the space.  Adding furniture or staff would decrease the capacity.  IMS is not currently accepting requests for events.  

    A stage, lighting and sound is available at the Usdan/Huss Tent.

  • Why can't I reserve a residence hall lounge or program house?

    Lounges in residence halls and program houses are not available for reservation, as they are only available for use by the residents of that hall/building.

    Woodframe residents will be given specific information regarding gatherings in and outside of their houses after March 15th.
